Conditions of use
Only The Christie personnel can book meetings in
the Education Centre. It is their responsibility, or delegated
officer, to ensure that the Centre rules are adhered to
Cancellation notification must be in writing.
Rooms booked in the Education Centre that are subsequently
cancelled will be subject to a cancellation fee:
- Cancellations received in excess of one month of the meeting
date - 50% of total fee will be applied.
- Cancellations received between two weeks and one month before
the meeting date - 75% of total fee will be applied.
- Cancellations received with less than two weeks notice will be
subject to the full fee.
All rooms hired should be left as they have been found i.e.
clean and tidy. Failure to do so will result in a further charge of
£20 for extra cleaning.
Where catering facilities have been used all utensils should be
returned to the trolley and left outside the meeting room to enable
collection by the catering staff.
Without exception no food or drinks are allowed in the
Auditorium (apart from water for the speakers on the front desk.)
Anyone found with consumables will be asked to leave. Any
refreshments must be consumed in the Foyer area and cleared away
into the bins provided.
On vacating the rooms at the end of the meeting it is essential
that the Christie officer from the meeting (see Rule 1) should take
responsibility for informing either the AV Technician in charge or
Medical Illustration (ext 8196 or ext 3305) so that the room can be
locked and made secure. This is especially important for evening
meetings when the Porters lock up the Centre at the end of the
meeting. It is the Christie officer's responsibility to inform and
wait for the Porters to secure the Centre. This is to cover the
Health, Safety and Fire Evacuation requirements.
The Education Centre needs a minimum of one month's notice for
weekend and evening meetings where a Technician's presence is
required
All meetings should finish by the time stipulated on your
confirmation letter. Where meetings over-run you will be subject to
an extra hire charge. At weekend and evening meetings this will
include a further charge for the Technician's time.
Block bookings
Educational and Clinical meetings are given priority.
Cancellations will be subject to a cancellation fee (as above.) If
meetings are cancelled on a regular basis your block booking may be
reviewed.
Please note
There are no parking facilities for delegates to Education
Centre meetings the car park is only available for Christie
patients.
Education centre charging
The Education Centre is funded from The Christie Charitable
funds. There is a system for making charges under certain
circumstances. The income from this will be used to offset some of
the running costs, currently just over £100,000 per annum.
Centre opening times are
- 08.00 - 20.00 Monday - Friday (closed during Bank holidays and
Christmas period)
- Evening (after 5pm) & weekend meetings must be booked a
month in advanced and are subject to an additional technician
charge (see table below).
Charges are increased annually based on current rates of
inflation.
There will be NO charge if;
- The meeting/event is internal, i.e. only Christie staff are
attending
- No income is being generated from the meeting/event.
NHS Rate will be charged if:
- Internal Christie meetings/events that are generating income
from attendance fees or sponsorship.
- Events attended by external delegates from other NHS trust
Note: Meetings generating income should include a charge for
room hire in their costs.
For Christie and NHS meetings a cancellation charge of £50 will
be incurred if less than 24 hours cancellation notice is given per
room booked
External Rate will be charged if:
- Events organised by external organisations such commercial
companies, professional associations, societies or charities
- Cancellations received in excess of one month of the meeting
date 50% of total cost will be applied
- Cancellations received between two weeks and one month in
advance 75% of total cost will be applied
- Cancellations received with less than two weeks notice will be
subject to the full room charge
Notice for any meeting
If catering is provided for your meeting, it is up to the
organiser to ensure that the utensils and food are tidied away onto
the trolley and left outside the room. If this policy is not
followed and the room is left in a mess there will be a charge of
£25 for extra cleaning.
